Navigating the Depths: A Dive into PTMSC's Adventures with Clarity

In the heart of Port Townsend, Washington, lies a beacon of education and conservation, the Port Townsend Marine Science Center (PTMSC). Founded in 1982, this 501c3 non-profit has been illuminating minds and fostering a deep connection to the marine world for over four decades. At its core, PTMSC is a community-driven organization fueled by the dedication of volunteers and a profound understanding that conservation and restoration in Port Townsend are integral components of a larger global ecosystem.

From its beginnings focusing on school programs and supporting teachers in K-12 education, PTMSC has evolved into a leader for lifelong learning, catering to diverse interests and demanding high-quality marine education. We sat down with Executive Director Diane Quinn to gain insight into PTMSC’s impactful work and its journey with Clarity.

One of PTMSC's standout initiatives towards lifelong learning is its citizen science program, empowering community members to actively participate in marine investigation, data gathering, and restoration efforts. Their public-facing exhibits serve as a gateway to the marine world, engaging visitors and locals alike while seamlessly integrating with its educational and citizen science programs. The underlying mission of PTMSC—to inspire conservation, empower community involvement, and provide a platform for education—permeates every aspect of their work.

But even organizations as impactful as PTMSC face challenges, especially in navigating the complexities of operations and finances. This is where Clarity enters the picture. PTMSC sought Clarity's expertise when Clarity was just starting - 18 years ago - to manage its evolving needs effectively. What began as a one-person and volunteer-managed endeavor soon blossomed into a bigger organization that required expert help. Clarity was there to support PTMSC’s expansion and changing needs, ensuring that its vision could thrive unhindered.

Since partnering with Clarity, PTMSC has achieved significant milestones. From streamlining operations to purchasing a new building in downtown Port Townsend, PTMSC has embraced innovation with confidence, knowing that they have a reliable partner to guide them through every challenge.

The purchase of the Flagship Landing building in 2021 presented new challenges for PTMSC, as they had to manage a commercial space alongside a nonprofit organization. However, with Clarity's reassurance and adaptability to change, this undertaking became possible. The clear and easy-to-understand financial data provided by Clarity allowed PTMSC to track its progress and make the informed decisions that led to this purchase and its continued management.

In addition to managing the new commercial space, PTMSC embarked on a transition to new software, including Quickbooks Online, direct deposit payroll, and a new POS system. These transitions in a fast-paced tech environment created fears and anxieties for the PTMSC team, leaving them wondering how this change would affect the organization. However, with Clarity’s optimism and confidence in facing new challenges, PTMSC felt reassured that they were not alone in this process. “We can do this. It will be okay,” Diane declares.

What truly sets Clarity apart, according to Diane, is our unwavering commitment to partnership and problem-solving. Clarity’s clear communication, quick response times, and genuine desire to understand PTMSC's goals and challenges have fostered a relationship built on trust and mutual respect.  “Being able to problem solve for us is just a huge, amazing thing that you do”, says Diane, thankful that Clarity takes the time to figure things out alongside PTMSC. “Everyone at Clarity is highly capable”, Diane says, emphasizing that Clarity’s staff aren’t just numbers people. “There’s a competence and confidence to your staff, but they aren’t arrogant,” reflects Diane, highlighting how Clarity keeps a balance between being knowledgeable and providing accurate information while never looking down on clients or making them feel like they missed something. Diane appreciates this balance, adding that “you don’t want to be talked down to, but you want people to tell you things you need to know.”

Thanks to Clarity’s detail-oriented approach, Diane feels confident that PTMSC’s finances are being well-managed. In Diane’s words, Clarity has grown to “feel like an arm of our organization”, blurring the line between client and service provider. This collaborative ethos and supportive work environment have been instrumental in the success of the partnership. PTMSC and Clarity's partnership exemplifies the power of collaboration in driving meaningful change. Together, they are not merely managing finances but shaping the future of marine education and conservation in Port Townsend and beyond. As PTMSC begins planning for the capital campaign to fund the renovation of their downtown building, they look forward to continuing their partnership with Clarity.
